Don’t forget these billing tasks

Taking a little time to make sure your bill messages and inserts are configured properly before you transmit can help ensure your company has a smooth billing month. Below are a few tips to help.

Bill messages

  • Make sure you double check that the message is set up correctly in Customer Master.
  • Don’t forget to make sure the message’s spacing and spelling are correct. The bill message preview can help with this task.
  • For questions, don’t hesitate to contact your Software Support Representative prior to bill transmission.
  • If you find an error with your bill message after you transmit, there is a way to resubmit just the information pertaining to the bill message. Contact your Software Support Representative for details.

Bill inserts

  • All bill inserts need to be set up in Customer Master. This step determines which statements receive inserts. You must configure the inserts in Customer Master even if they’re going to all of your customers. We need you to take this step as it’s the primary way we know your company will have an insert for a given month based on reports pulled from the billing data transmitted to us. Configuring inserts in Customer Master greatly reduces the odds of your statements being sent without the desired inserts.
  • Bill insert forms must be completed. We need you to complete one of the online bill insert forms to notify our team you’ll have an insert. Completing an insert form helps ensure your inserts are set up and used as you intend. There is a form for a single insert, or if you have more than one insert for a given month, there is a multiple insert form that allows you to submit up to five inserts at once. These forms can be reached directly within Customer Master or by following this link to the Client Pages.
  • The minimum insert size is six by three inches. The maximum size is eight and half by four inches.
  • Inserts cannot be z-folded.
  • We ask that you notify MACC’s Creative Services Team 10-12 business days in advance of your transmit date if you’ll need them to produce your inserts. If you plan to have the inserts come from another source, please have them delivered by your transmit date.

Right before transmitting billing, run the Bill Ad/Msg/Drop Ins Accounts and Bill Ad/Msg/Drop Insert Maint reports to verify the number of accounts and the linked and active items.
